The Bean cartel is a platform that allows business operations management for a coffee wholesaler in Australia. Our client wanted us to create a system to manage orders for different coffee retailers in an effective manner. The idea was to replace manual tasks like receiving orders on calls and maintaining delivery records through a digital system.

Task

The main task was to understand the intricacies of a coffee wholesaler's business and create a system that could meet the unique needs of this business.

Approach

We focused on two things mainly- one was to establish a communication platform regarding orders and delivery status between wholesaler and retailer. The other was to manage inventory smartly through a QR code-based method.

Value

This automated system has reduced the scope of human errors to a large extent along with keeping the wholesaler and retailers on the same page regarding order requirements and deliveries at all times.

The Solution

We created a digital synchronization between all the workflow of the wholesale coffee business by creating 2 mobile apps (one for drivers, and other for retailers) and a web portal from which coffee wholesalers could manage operations.

Web portal

The web portal allows the coffee wholesaler to add clients manually and facilitate communication like receiving orders and delivery status etc.

We have made a third-party integration with Xero software to create automated invoices.

Driver app

The driver app has been designed beautifully where drivers get access to each order details and can update the delivery details of the stock, they have loaded by scanning the QR code printed on each coffee carton. This way, a digital system helps keep a proper account of a delivery done for each client.

Customer app

The retailers (cafes) can log in using a mobile number in the customer app and place their orders there. At the same time, they can track the delivery status of their orders.

The Results

Needless to say, this client was smiling from ear to ear!
